What are Bill.com Pay By Card card payments?
With Bill.com Pay By Card, you can make a vendor or contractor payment within Bill.com using a credit or debit card, even if they don't accept card payments. Your vendor will receive payment via ACH ePayment or check.
How does it work?
When you make a card payment to a vendor or contractor in Bill.com, there are two steps to the payment process. Bill.com processes the payment with your credit or debit card provider, then pays your vendor via ACH ePayment, check, or Vendor Direct virtual card, depending on how you’ve set up your vendor. You pay an industry-standard transaction fee for each transaction. Please see our current pricing page for details.
Why should I use Bill.com Pay By Card?
When you use a credit card to pay bills in Bill.com, you have more time to settle the debt on your credit card account, depending on when your credit card bill is due to your card provider. It is an easy way to defer payments to increase cashflow, and earn any potential card rewards offered by your card provider.
How do I use a card when I schedule a payment?
When you pay a bill or vendor in Bill.com, you have the option to add a new payment method in the Pay From field, which now includes cards. Follow the steps to add a new card and schedule the payment. The next time you pay a bill or vendor, you’ll see any added cards as a payment option. Simply select a card and schedule the payment, or add a new card at any time.
How do I set a preferred card for a vendor?
When you pay a vendor using a card, you can set the card as preferred for that vendor by checking the the box on the payment details screen.
The next time you pay that vendor, the card will pre-populate in the Pay From field, but you can change as needed. You can change your preferred card as needed in your settings.
You can also set a card as your default payment method in Settings under Card Accounts.
Can I schedule a Pay By Card payment in advance?
Yes, just like paying bills with a bank account, you can select the process date when you schedule Pay By Card payments.
Can I bulk pay multiple bills at once with a card?
Yes, you can make bulk payments with cards, just like with a bank account.
How long do Pay By Card payments take?
If your existing vendor is set up to receive ACH ePayments, in most cases, funds will be deposited the next business day. New ACH ePayment vendors can take up to 5 business days.
Check vendors can be 5-7 business days, depending on USPS mail delivery speed.
Vendor Direct virtual card payments are delivered the same business day or next day.
When you schedule your payment, you’ll see the estimated payment delivery date, and we suggest scheduling with plenty of time for the payment to arrive to avoid late payments.
Why doesn't my vendor receive funds right away when I use Pay By Card?
When you use Pay By Card, Bill.com pulls the funds from your card, but still processes payment to your vendor via ACH ePayment, check or Vendor Direct virtual card.
What does Bill.com charge for card payments?
When you pay bills by card, we apply an industry-standard transaction fee based on the payment amount. We charge the scheduled payment amount plus a transaction fee as one card transaction when we process your payment. Please see our current pricing page for details.
Will my vendor be charged for receiving Pay By Card payments?
We don’t charge your vendor additional fees for receiving Pay By Card payments. When vendors process Vendor Direct virtual card payments, standard merchant processing fees apply.

Why do I have to pay a transaction fee?
Paying by credit card normally results in per-transaction fees that can be paid by the payor or, commonly, the payee. With Bill.com Pay By Card, the payor assumes responsibility for paying the fees.
Are Pay By Card transaction fees tax deductible?
Pay By Card transaction fees may be tax deductible if they are considered an ordinary and necessary business expense. Please consult your tax advisor to confirm whether or not this is the case in your particular circumstances.
What if my vendor doesn't accept card payments?
You can pay your vendors with Bill.com Pay By Card whether they accept card payments or not. Bill.com processes the payment via your card, and then issues the payment to your vendor via ACH ePayment, check, or Vendor Direct virtual card, depending on how you’ve set the vendor up.
What card types can I use?
Any US credit or debit card may be used for Bill.com card payments, except prepaid cards, or gift cards, which are not supported at this time.
Can I use a card that usually requires a PIN?
Payments made via a card that usually requires a PIN might fail. Should this happen, you’ll receive an email notification with appropriate next steps. Please follow the directions in your email. The failed payment will be voided and you’ll have to reschedule payment using a new card or bank account.
How will card payments appear on my statement?
When you receive your card statements, you'll see each transaction listed as a payment to Bill.com, along with the name of the vendor you are paying, ex: “BILL.COM* VENDOR NAME PAYMENT AMOUNT”.
- Bill.com Pay By Card credit card payments will appear on your credit card statement and are due according to the terms of your card.
- Funds for debit card transactions are pulled directly from your bank account associated with the card and will appear on the associated statement.
- If you schedule payments for bills going to different vendors, or to same vendor but on different dates, these payments and the associated fees will each appear as a separate transaction on the card statement.
- We combine multiple payments to make 1 bulk payment if 3 conditions are met:
- The payments are going To the same vendor
- Process date is same for all
- Funding Source is the same
- Combined payments will appear as 1 individual payment on your card statement.

How do I add a card to make payments?
There are 2 different ways to add a card to make payments:
- When you pay a bill or vendor in Bill.com, you have the option to add a new payment method, which now includes cards. Follow the steps to add a new card and schedule the payment.
- You can also add a card in your Bill.com settings on the Card Accounts page.
The next time you pay a bill or vendor, you’ll see any added cards as a payment option. Simply select a card and schedule the payment, or add a new card at any time.
Can I add more than one card?
Yes, you can add additional cards when you pay a bill or vendor, or on the Card Accounts settings page.
Can I pay all my vendors via credit or debit card within Bill.com?
There are a few exceptions when you cannot pay a vendor with a credit or debit card within Bill.com:
- International vendors outside of the US cannot be paid via credit or debit card within Bill.com at this time. For these vendors, you won’t be able to schedule card payments, you must use a bank account.
- There are also some restricted goods and services that cannot be paid for with the Bill.com Pay By Card Service. For these vendors, you won’t be able to schedule card payments, you must use a bank account.
Are there any other restrictions on Pay By Card payments?
Bill.com Pay By Card is for business payments only. Pay By Card cannot be used for the following:
- Cash advances
- To make payments to yourself
- To pay other credit card companies
- To make payments on loans or mortgages
- Personal or household purchases
Where can I see all my pending, scheduled and processed (or completed, voided, etc) card payments?
All card payments are included on the Payments Out page in your Bill.com account. You'll see payment status and any available or completed action associated with the payment, such as completed, cancelled, or voided.
What happens if my card is declined when Bill.com attempts to process a payment?
Should this happen, you'll receive an email notification with appropriate next steps. Please follow the directions in the email. The declined payment will be voided and you’ll have to reschedule payment using a new card or bank account.
Is there a fee if my card is declined?
No. If your card is declined, you will not be charged the transaction fee, or any standard payment fees.
Can I cancel a Pay By Card Payment?
Yes, you can cancel Pay By Card payments up until their process date.
Do I have to add a bank account at all, if I add a card for payments?
Card payments in Bill.com don't require you to also add a bank account since the funds for the payment are processed with your credit or debit card provider. However, it is strongly recommended that you add a bank account to your Bill.com account to pay vendors not eligible for card payments, and if you have to cancel a lost or stolen card, you can reschedule using the bank account while you wait for a new card.
What is the difference between ACH ePayments and card payments?
ACH ePayments are electronic, bank-to-bank money transfers processed through the Automated Clearing House (ACH) network. They're paperless payments also known as “direct deposit.”
Card payments are those processed on your credit card or debit card. Credit card payments will appear on your credit card statement and are due according to the terms of your card. Debit card transactions are pulled directly from your bank account associated with the card and will appear on the associated statement.
Will you charge a transaction fee for card payments made towards my Bill.com subscription?
No, we won't charge a transaction fee when you use your credit card to pay for your Bill.com monthly subscription.
Do I have to nominate other users to be authorized to schedule payments using a card I added?
No, there’s no nomination process for cards at this time. Each of the admin users in your account with online payment permissions role will have to add the card on their respective profile before they can use that card to schedule payments.
Does my Bill.com username have to match the name on the card?
No, your Bill.com user name doesn't have to match the name on your card. Use the info specific to the card when you add payment cards.
Does Bill.com send a test transaction when I add a new card?
No. Bill.com processes the payment on the process date you select when you schedule payment. If there's an issue with the payment, you'll be notified.
Is Bill.com PCI compliant?
Bill.com partners with a PCI certified vendor for credit card payments.
Will Bill.com temporarily authorize more than the payment amount, like some retailers?
No, Bill.com will only authorize the amount you specified for the payment plus the transaction fee. Please see our current pricing page for details.
Will I be notified when a card I have on my account expires?
No. At this time, Bill.com is unable to track and notify you when your credit card on file expires. You'll be notified that there's an issue when you attempt to pay a bill or vendor with your expired credit card.
Can I edit card information when it changes or do I need to add a new card?
If you need to edit existing card information, you'll need to enter it as a new card. You’ll want to make sure to delete old cards to avoid payment delays if the old card is selected.
How do I delete an existing card?
You can delete existing cards on the Card Accounts page in Settings. Cards can only be deleted by the Admin user who added them.
Can I use a card for international payments?
At this time, you cannot use the Pay By Card feature for international payments. You’ll need to pay those bills and vendors using a bank account.
How will my card transactions sync over to my accounting software?
Pay By Card payments sync over to your accounting software, just like other Bill.com payments, but the transaction fee amount won't sync to some accounting software versions. Learn more about how payments sync and how to enter the fee.
Are card payments available for Receivables?
If you have the advanced Receivables feature in your Bill.com account, you can sign up to receive card payments in your Online Payment Settings. Please see the article linked at the bottom of this page for more information.
Can I use my Divvy card with Bill.com Pay By Card?
Yes, you can use your Divvy card in Bill.com to use Pay By Card. The transaction fee still applies.
What's the difference between Divvy and Bill.com Pay By Card?

Divvy provides a line of credit, gives cards to every spender, and allows you to control budgets with easy-to-use software. Expenses are processed on the Divvy Visa Business Card and managed from the Divvy app. You get custom rewards with your Divvy credit line and can control online subscriptions with unlimited virtual cards.
With Bill.com Pay By Card, you can make a vendor or contractor payment within Bill.com using a credit or debit card, even if your vendor/contractor doesn’t accept card payments. Your vendor will receive payment via an ACH ePayment, or check. You can manage cash flow by deferring payments and earn any available rewards your credit card offers.
What's the difference between Vendor Pay and Bill.com Pay By Card?
Vendor Pay is an accounts payable solution developed by American Express and Bill.com, exclusively for American Express Business and Corporate Card members. Vendor Pay includes the complete cloud-based Bill.com platform, which allows businesses to pay bills, send invoices, and get paid. Vendor Pay offers American Express Card payments as the primary payment option to vendors that accept American Express and has no transaction fee.
Pay By Card is a payment method available within Bill.com. Pay By Card allows bill payment using a credit or debit card, even if your vendor doesn’t typically accept card payments. Any US credit or debit card may be used for Bill.com card payments for an industry-standard transaction fee for each transaction. Please see our current pricing page for details.
Troubleshoot a declined card or card payment not allowed
If your card is declined or you receive an error message to pay by bank instead, there are a few things you can check:
- Are you entering the right card number and expiration date?
- Are you using the correct address when entering the card info? It needs to be the address on record with the card provider, even if that's different than your business address.
- Is it for an international vendor? Pay By Card is only for US based vendors at this time.
- Is the payment for a restricted reason? Pay By Card cannot be used for the following:
- Cash advances
- To make payments to yourself
- To pay other credit card companies
- To make payments on loans or mortgages
- Personal or household purchases
- Is it a gift card or prepaid card? We currently don't accept prepaid or gift cards for Pay By Card.
- Does the card normally require a PIN? You can try to use cards that require a PIN entry, but we don't guarantee they'll work. If a PIN card is declined, you'll need to use a different card, or a bank account.
If none of the above applies and the issue persists:
- If the card is declined, please refer to your card provider as we won't be able to obtain more details.
- If the you're getting the warning to use a bank account to pay instead, but it seems to be a valid Pay By Card transaction, contact Customer Support by selecting Contact Us at the top of this page for further troubleshooting.
