If you need to provide proof of payment to a vendor, you can use the payment record within Bill.com.
To find a payment record:
- Select Payments Out in the navigation menu
- Select the Confirmation # of the payment
If you don't see a payment you're looking for, check the filters:
- Payment Status
- All
- Pending Approval
- Scheduled
- Paid
- Canceled
- Voided
- Scheduled + Paid
- Payment Type
- All
- Check
- ePayment
- Other
- Wire
- Process Date
- All
- Today
- Last 7 Days
- Last 30 Days
- Next 7 Days

You can then choose how to send the payment information to your vendor, such as copy/paste into an email, take a screenshot, print from your browser, etc.

The information on payment records will vary, depending on the payment method and payment status.

Paper check payments
Paper check payment records will show the following information, depending on the payment status:
Scheduled:
- Vendor Name
- User who scheduled the payment
- Process date: the date we will debit your account and mail the check
- Arrives by: the date we estimate the check will deliver to your vendor
- Vendor address
- Bank account: the account used to fund the payment
- Vendor email
- Total payment amount
- Account: the GL account associated to the bank used to fund the payment
- Memo: this defaults to the invoice number unless you customized it when you scheduled payment (you can't edit the memo after you schedule the payment)
- Total vendor credits applied
- Paid Bills
Check Issued/Uncashed:
Everything under scheduled, plus:
- Check #
- Check Date: the date we mailed the check
- Check expiration date: 90 days after the check date
Cashed:
Everything under scheduled and Check Issued/Uncashed, plus:
- Cashed date
- Check Images: select Print next to the images to print the check images and details
ePayments
ePayment records will show the following information, depending on the payment status:
Scheduled:
- Vendor Name
- User who scheduled the payment
- Process date: the date we'll debit your account and begin processing the payment
- Arrives by: the date we estimate the payment will deliver to your vendor
- Total payment amount
- Bank account: the account used to fund the payment
- Vendor email
- Total vendor credits applied
- Account: the GL account associated to the bank used to fund the payment
- Memo: this defaults to the invoice number unless you customized it when you scheduled payment (you can't edit the memo after you schedule the payment)
- Paid Bills
Cleared:
Everything under scheduled, plus:
- Cleared date
- Reference ID: the ACH ID of the payment - your vendor can give this to their bank to trace a payment if needed
- Bank routing number: the routing number of the vendor's bank
- Bank Account number: the vendor's bank account number (encrypted, only shows the last 4 digits)
Vendor Direct payments
Vendor Direct payment records will show the following information, depending on the payment status:
Scheduled:
- Vendor Name
- User who scheduled the payment
- Process date: the date we'll debit your account and email the card info
- Arrives by: the date we estimate the card info will arrive to your vendor
- Vendor address
- Bank account: the account used to fund the payment
- Remittance email: we'll send the virtual card info to this email address
- Total payment amount
- Account: the GL account associated to the bank used to fund the payment
- Memo: this defaults to the invoice number unless you customized it when you scheduled payment (you can't edit the memo after you schedule the payment)
- Total vendor credits applied
- Paid Bills
Sent:
Everything under scheduled, plus:
- Vendor direct details
- Payment sent on
- Card number (encrypted, only shows the last 4 digits)
- Expires on: the date the card info will expire
- We'll void Virtual card payments and reissue as an ePayment/check if your vendor doesn't process it within 20 days of the Arrives By Date
Cleared:
Everything under scheduled and sent, plus:
- Cleared date: the date your vendor processed the virtual card number for payment
International payments
International payment records will show the following information, depending on the payment status:
Scheduled:
- Currency
- Vendor Name
- User who scheduled the payment
- Process date: the date we'll debit your account and begin processing the payment
- Arrives by: the date we estimate the payment will deliver to your vendor
- Total payment amount
- Bank account: the account used to fund the payment
- To bank account: the vendor's bank account number (encrypted, only shows the last few digits)
- Total vendor credits applied
- Account: the GL account associated to the bank used to fund the payment
- Vendor email
- Memo: this defaults to the invoice number unless you customized it when you scheduled payment (you can't edit the memo after you schedule the payment)
- Paid Bills
Cleared:
Everything under scheduled, plus:
- Swift transaction number (if it is a payment to a country that supports Swift)
