If accept credit cards through Bill.com, you can choose to charge customers paying by credit card a convenience fee or surcharge. Convenience fees and surcharges must adhere to rules set by:
- State law
- Federal law
- Card association rules and regulations
- Convenience fees are prohibited in certain states. We strongly recommend reviewing your state's laws regarding convenience fees.
Add or manage a Convenience Fee
After you've made sure your state allows convenience fees, you can control the fees at any time:
- Log in to Bill.com
- Select Settings
- Under Receivables, select Online Payments
- Next to Credit Card, select Set up fee or Manage fee by Convenience Fee
- Enter the convenience fee as a flat fee or a percentage of the payment
- Select the Expense Account
- Select Save
Note: When you specify a flat fee (e.g., $10.00), only that amount is charged, regardless of the amount of the payment or the number of invoices paid. A percentage fee (e.g., 1.5%) applies to the total payment amount submitted for all invoices paid with that payment. See example below.

Remove a Convenience Fee
- Log in to Bill.com
- Select Settings
- Select Online Payments under Receivables
- Select Manage by Convenience Fee next to Credit Card
- Clear the amount in the Convenience Fee field
- Select Save
Sync the Convenience Fee
The convenience fees will automatically sync with QuickBooks Desktop. Other accounting systems, including QuickBooks Online, QuickBooks Enterprise, Netsuite, Sage Intacct, and more will require manual journal entries for now.
To view & reconcile the convenience fees charged on each transaction, download the Received Payments report.
- Select Reports
- Under Receivables, select Received Payments
- Enter parameters for the report
- Select View or Download
For now, card payments are labeled as an ‘ePayment’ and will list the transaction fee and convenience fee (when applicable). Card payments will also have a reference number beginning with ‘01’ or ‘02’.
