Add individual new clients to your accountant's console in just a few steps, or import multiple clients at once via CSV file.

Add a single new client to your console
- Log in to Bill.com.
- Select Manage Console.
- If you don't see Manage Console, select your console name on the left first, then Manage Console.
- Select Add Client Company.
- Enter Client information. At a minimum, the following is required:
- Legal Company Name: must be the client's legal company name, or if it's an individual, their legal name.
- Industry: please select the closest match for the industry of the client you're adding
- Company Address And Phone: enter your client's info here, not your firm's
- Mailing address: you can use your firm's info or the client's info here for checks, invoices, network profile, and other communications
- Select Continue
- Select Features:
- Accounts payable, Accounts receivable, or both.
- Client accounting Software: select the accounting software the new client uses.
- Select Continue
- Select Billing method:
- Select Bill the client if you want the client to enter their own billing info.
- Select Bill my firm if you want us to bill your firm for the client's monthly statements. This option isn't available unless there's a billing card or bank account added to your firm.
- Assign admistrators and collaborators
- you can add up to 4 while adding a new client, but you can add more once you've finished adding the client.
- Select Add client.
Import multiple new clients to your console
Use our CSV template to bulk-add multiple clients at once, and even set their accounting preferences & basic bill approval settings in the process.
- Log in to Bill.com.
- Select Manage Console.
- If you don't see Manage Console, select your console name on the left first, then Manage Console.
- Select More Actions, then Import multiple clients.
! - Select Download Form to download a copy of the import client template. This specific template is required to import clients.
- Open the template and enter the new clients' info, one client per row:
- Minimum required fields per client:
- Company name within console
- Company address (full) and phone number
- Can't be the same as the console's address or phone, must be the client's specific address and phone to comply with federal and state laws.
- Primary contact address (full)
- Primary contact phone
- Accounting software
- Bill to the console or firm
- If you set this as bill to firm, a billing credit card must be entered on console.
- Use payables (Yes/No)
- Use receivables (Yes/No)
- Email address of the first admin user
- Must match the email of an existing user on the console.
- Company owner name (client, not firm).
- Industry
- Business type
- Date of birth if Individual or Sole proprietor business type
- Purpose of use if Individual business type
- Optional fields per client include:
- DBA name/ Display name
- Network profile visibility
- Number of employees
- Time zone
- Accounting preferences (classifications on bills)
- Basic approval settings (not policies)
- External client ID
- Inbox address should be left blank as this won't import.
- If a new client's company name matches an existing client in your console, that row will be ignored, as only new clients can be added via import.
- Minimum required fields per client:
- Save the completed template as a comma-separated values file (CSV). No other file type will import successfully.
- Back in your Bill.com console, select Import multiple clients again.
- Select Browse, and browse for the CSV template you saved in step 6, then select Continue.
- If our verification finds errors, you'll see Error details appear. Review the Client Name, Error Details, and Location on CSV to correct the info on your saved CSV template, and save it again.
Possible causes of errors can include:- File type - must be CSV
- All required fields complete
- Validation of fields with drop-downs (Accounting Software, Industry, etc. - make sure the entered value is one from the dropdown)
- Make sure the email address of the first admin user provided is already present in the console.
- If bill to firm is selected, make sure the console has an active billing credit card on file.
- At least one of “Use Payables” or “Use Receivables” should be “yes.”
- Once corrected, select Upload CSV on the Error Details page, and select the corrected CSV, and select Continue.
A banner on your client list shows the import in progress, and will update to successful when complete.
Move between the console and your client accounts
You can easily move between your Console account and your clients' Bill.com accounts from any Bill.com page:
- Select your name in the top right.
- Select My Companies from the drop-down menu.
- Choose the company you'd like to navigate to.
